Senior Admin Executive

  • Monitor and assess basic-skilled workers for eligibility to upgrade to higher skill levels, ensuring timely renewal of Enhanced SOC, Coretrade and multi-skilled qualifications. Collaborate with the project team to keep qualification records up-to-date and manage course registrations. Verify the validity of new workers’ AWSH (CSOC) certifications before they start work, and handle renewal for existing employees.
  • In charge of tracking and organizing all individual courses and seminars for CET personnel to ensure compliance with company A1 license requirements and site safety knowledge, and track company certifications and the status of qualification holders (e.g., Quality Mark Managers, CONQUAS Managers, supervisors) to ensure certifications remain current.
  • Monitor and register various required site safety licenses (e.g., RES, REO, OFA, ECM, ECO) to ensure they meet regulatory compliance.
  • Liaise with relevant internal and external parties to ensure timely course applications and the distribution of relevant documents prior to the course dates.
  • Ensure timely submit payment requests for seminars and course to the Accounts Department to avoid any late payment.
  • Update and submit project manpower survey data to the Building and Construction Authority (BCA) via the Electronic Productivity Submission System (EPSS) at least every two months.
  • Follow up on monthly updates from the Ministry of Manpower (MOM), particularly regarding ATPs (Approved Training Providers), and take necessary actions.
  • Assist with filling out survey forms and responding to government inquiries from BCA and MOM.
  • Maintain and regularly update employee training records, ensuring that all completed forms are organized and properly documented for efficient record management.
  • Ensure that the construction department’s filing system is regularly updated and properly maintained to ensure records are organized and easily accessible.
  • Conduct regular reviews of the company’s training policies and procedures. Prepare proposals for improvements and submit them to the Head of the Construction Department.
  • Training budget management including estimate and track the training budget on a monthly basis in preparation for each financial year, ensuring that the budget is adhered to and allocated appropriately.
  • Continuously monitor available government grants and funding opportunities the company may be eligible for, and suggest new practices and procedures to the Head of the Construction Department to ensure maximum utilization of these grants and funding.
  • Oversee the insurance processes for project-related annual insurance, including obtaining quotations, managing renewals, and ensuring that claims are processed accurately and promptly.
  • Ensure accurate record-keeping for project completions, including Temporary Occupation Permits (TOP), Certificate of Statutory Completion (CSC), and warranty documentation.
  • Collaborate with site administrators and project teams to provide necessary administrative support, performing various office and project site duties such as circulation, filing, and general administrative tasks to ensure smooth operations within the department.
  • Assist the Head of Construction in organizing safety promotional activities, such as Safety Slogan Competitions, and support the printing of safety stickers, banners, and other materials.
  • At least 1 Workforce Skills Qualification (WSQ) Statement of Attainment is preferrable.
